What “proof of business address” actually means

A request for proof of business address sounds like a request for one PDF. It usually is not. A registry, tax agency, bank, and payment platform may be checking different facts: that the company legally exists, that it can receive official documents, where it operates, where its owners live, or who ultimately controls it.

The safest application is a small evidence package in which every document has one clear job. A signed 2727 Coworking service agreement can document the subscriber, the address authorized under that agreement, the service terms, and an effective date. It does not replace articles of incorporation, a current registry record, a CRA document, personal identification, residential proof, or evidence that the business actually operates at 2727.

Before buying any address service, ask the institution which address role it is verifying and which document types it currently accepts. If its answer is unclear, use our business-address checker or send us the exact request.

Start with the address label

Address terms are not interchangeable.

  • Registered office or company domicile: the official address recorded for the corporation. In Quebec, the enterprise register describes a legal person’s domicile as its head-office address.[1] For a federal corporation, the registered office is where official documents are served. It must be a street address in the province or territory stated in the articles, not a post office box.[2]
  • Elected domicile: in the Quebec register, this is the address of the person mandated to receive documents for the enterprise under the legal-publicity statute. It is a distinct register field, not another name for the company’s domicile.[1]
  • Mailing address: where correspondence should be delivered. It can match another address, but mail delivery alone does not prove that the business operates there.
  • Operating, physical, or trading address: where the business actually conducts day-to-day activity. Wise, for example, treats this separately from the registered address and excludes mail-receiving services and virtual offices from its trading-address field. A coworking location can qualify only when the business actually operates there.[3]
  • Personal residential address: where a director, representative, signatory, or beneficial owner lives. A commercial address must never be entered as a person’s residence unless that person genuinely resides there. 2727 is a commercial coworking location, not residential accommodation.
  • Professional address of a natural person: Quebec permits a qualifying principal place of work or business to be published instead of a person’s home address, but the home address must still be declared. A post office box cannot be the professional address.[4]

One location can honestly fill several roles. That does not make the roles identical.

Some institutions publish alternatives, but those alternatives apply only to the fact being tested. National Bank’s checklist, for example, identifies registry records that can help confirm a business’s existence while separately requiring corporate formation records, directors, officers, 25% owners, or an ownership chart.[5]

What incorporation, REQ, and CRA records mean

An incorporation certificate and articles answer: what legal entity was created, when, and under which law? The REQ’s filing guide describes constitutive documents as articles, certificates, letters patent, or other state-issued documents that attest to legal existence and the rules governing the entity.[6]

A current registry statement answers a different question: what information is presently declared? It can show the NEQ, status, domicile, legal form, incorporation regime, and update dates. It should match the application, but a registry printout does not prove that employees work at an address.

CRA registration is another layer. The CRA may collect legal and operating names, mailing and physical addresses, business activity, incorporation date, jurisdiction, and certificate number.[7] A corporation income-tax account registration specifically calls for the corporation name, certificate number, incorporation date, and jurisdiction.[8]

The NEQ, federal corporation number, and CRA Business Number are different identifiers. Copy each from its own source and do not substitute one merely because an onboarding form says “registration number.”

Why banks and payment platforms ask for more

Banks do not verify only the address. Canadian anti-money-laundering rules require regulated entities to obtain the corporation’s directors and the names and addresses of people who directly or indirectly own or control 25% or more. They must also obtain information about the ownership and control structure.[9]

Personal identity is a separate check. FINTRAC’s photo-identification method requires authentic, valid, current government identification that matches the person.[10] An address provider’s contract cannot replace that personal check.

Payment platforms perform similar checks in their own way:

  • Square Canada cross-checks the legal name, registration number, and registered address against government registries. It asks separately for the physical address when different, a Canadian personal address for identity verification, and beneficial-owner details.[11]
  • Wise distinguishes the registered address from the place where the business is genuinely run. A 2727 mail plan should not be labelled a Wise trading address if the applicant does not actually operate at 2727.[3]
  • Stripe separates identity, address, entity, bank-account, and relationship documents. Its general rules say one document cannot satisfy multiple requirements at the same time and require complete, readable files.[12]
  • PayPal Canada may verify information against databases and then request uploads. Its published personal-verification list separates proof of address, proof of financials, and proof of identity. The live request in the Resolution Center, not a generic list, controls.[13]

Requirements can change, automated checks can refer a file to manual review, and an acceptable address document does not guarantee approval of the overall account.

2727 agreement: specimen and field checklist

Specimen only, not an issued document

A public example should be marked SPECIMEN - NOT VALID FOR SUBMISSION, use a fictional company, omit signatures, and avoid reusable account or mailbox identifiers. Its purpose is to show the layout and scope of a service agreement, not to imitate a government certificate.

For an executed agreement, check the fields actually present in that contract. Do not add a field or description merely to satisfy an application.

  1. Provider’s legal name and the 2727 Coworking trade name.
  2. Subscriber’s exact legal name, with any trade name shown separately.
  3. Subscriber registration number, only if the agreement actually collects it.
  4. Full authorized civic address and assigned private-mailbox designation.
  5. Accurate service description, such as address service, mail receipt, notification, scanning, or forwarding according to the chosen plan.
  6. Effective date and, if stated, term or current service status.
  7. Client signatory’s name, title, signature, and date.
  8. Provider signatory’s name, title, countersignature, and date.
  9. Contract reference or verification contact, only if included in the executed agreement.
  10. Clear scope language: this is a service agreement, not a residential lease, utility bill, government certificate, or proof of daily operations.

If an institution demands a particular clause, provider letter, notarization, or certification, send the exact request to 2727 before subscribing. We can confirm what the service actually offers; do not assume a custom document is available.

Redacted specimen versus real submission

Do not automatically submit the public specimen or a redacted preview. Follow the institution’s current upload instructions. Stripe requires complete, legible documents with crucial pages and borders visible. PayPal warns that limitation-review documents should not contain blocked or blacked-out information.[14]

If you need help interpreting a request, share the request text first. Avoid emailing passports, tax numbers, or bank statements to an address provider. Submit sensitive evidence through the institution’s secure portal.

Submission checklist

  1. Identify every requested role: entity, registered address, physical or trading address, mailing address, representative, personal residence, ownership, bank account, or tax account.
  2. Download fresh government records and use the institution’s accepted date window.
  3. Match the legal name character for character; keep a trade name in its designated field.
  4. Match the street number, street spelling, unit or private-mailbox line, city, province, and postal code across the registry, agreement, and application.
  5. Use the correct identifier: NEQ, federal corporation number, CRA BN, or program account.
  6. Provide a separate document for each requirement when the platform says documents cannot be reused.
  7. Include all requested pages, both sides where relevant, full borders, and readable resolution.
  8. Show the ownership chain down to natural persons and document signing authority.
  9. Submit through the institution’s secure portal, not ordinary email.
  10. Save the request, submitted version, case number, and decision date. If rejected, ask which field or document category failed.

Common failure modes

  • The registry shows the numbered legal company, but the application uses only the brand name.
  • The agreement includes a private-mailbox line that is missing from the application, or vice versa.
  • A founder enters the business address in a personal residential-address field.
  • A mailing service is described as a physical trading location despite no operations there.
  • The applicant uploads a BN or NEQ screenshot when the reviewer asked for a dated government document.
  • Articles prove formation, while the reviewer actually asked for current registry status.
  • One file is reused for identity and address even though the platform requires two.
  • The scan is cropped, expired, password-protected, blurred, incomplete, or redacted contrary to instructions.
  • The ownership chart stops at a holding company instead of identifying the individuals behind it.
  • A recent incorporation has not yet propagated to the database the platform checks.

Fix the source record or the account data. Never edit an official PDF to force a match.

Frequently asked questions

Is a 2727 agreement proof of business address?

It is evidence of the address-service relationship described in the executed agreement. Whether it satisfies a particular proof-of-address request depends on the requested address role and the institution’s current accepted-document list.

Can it replace articles of incorporation or an REQ statement?

No. Articles establish legal creation; a current registry record shows filed information; the service agreement documents a private contract. An institution may request all three.

Is the agreement a lease or utility bill?

No. It should be described as the contract it is. Do not relabel it as a lease, bill, or government-issued proof.

Can I use 2727 as my operating or trading address?

Only if that is factually where the relevant business activity occurs and the institution accepts the arrangement. Receiving mail at 2727 does not, by itself, make it the place where the business operates.

Can the company address replace an owner’s residential address?

No. When a bank or platform asks where a person lives, provide truthful personal residential information and an accepted personal document. A commercial coworking address is not a residence.

Will the same package work for a bank, Stripe, Square, Wise, and PayPal?

Not reliably. Each institution defines its fields, document types, date limits, and verification process. Start with the live checklist for the specific account.

What should I ask before purchasing?

Ask: “Which address are you verifying, what fields must the document show, which document types do you accept, how recent must it be, and can a signed coworking or address-service agreement qualify?” Send the written answer to 2727 before subscribing if approval depends on it.
