How to Cancel a Coworking Membership and Change a Business Address in Montreal
Cancel your coworking membership without losing mail, missing filings, or leaving an obsolete Montreal business address on public records.
Cancel your coworking membership without losing mail, missing filings, or leaving an obsolete Montreal business address on public records.

Cancelling a coworking membership is a contract task. Moving a business address is a records, mail, tax, payment, privacy, and communications project. They are related, but one does not complete the other.
Start by reading the signed agreement and identifying the earliest effective cancellation date. Then inventory every role played by the old address. It may be a workspace, a mailing address, a Quebec head office, a federal registered office, an establishment, an elected domicile, a tax mailing address, a books-and-records location, a bank verification address, or a public customer-facing location. Each role has its own owner, evidence, timing, and change procedure.
The safest sequence is usually:
Quebec generally requires a registered enterprise to file a current updating declaration within 30 days after a change. An annual updating declaration filed during its prescribed period may sometimes be used to declare a change, but the annual filing is not a reason to miss the current-update obligation. [1] [2] A federal business corporation has a separate 15-day registered-office notice rule. [6] Those are filing periods, not universal coworking cancellation periods.
This guide gives a practical transition method as of October 2026. It does not determine whether a particular agreement is legally a lease, a service contract, or a mixed contract. That classification and the signed wording matter when rights are disputed.
Many failures begin with one vague phrase: “our address changes at the end of the month.” A controlled transition uses at least three dates.
| Date | What it means | Who controls it | Evidence to retain |
|---|---|---|---|
| Notice date | The day valid cancellation notice is delivered | Contract and delivery method | Email, portal receipt, registered delivery, acknowledgement |
| Contract end date | The last day of access, service, billing, or mail handling | Agreement and accepted notice | Written confirmation and final statement |
| Address effective date | The date a particular registry, agency, bank, or document should show the new address | Applicable law, form, and actual facts | Filing receipt, updated extract, account screenshot |
The dates can differ. If notice is delivered on October 12, 2026, a contract requiring 30 days' notice might continue into November 2026. A replacement can begin on November 1, 2026. A Quebec filing can report the date the relevant information actually changes. A federal filing follows its own rule. A bank may take several more days to review proof.
Do not backdate a new agreement to make the chronology look cleaner. An agency may permit an advance filing with a future effective date, but do not represent that the business currently holds a right that has not begun. If an overlap is affordable, it is often the least expensive control in the whole project because it permits evidence collection and corrections while the old channel remains accessible.
“Coworking membership” can describe very different legal and operational relationships. Your signed document may grant a shared desk, an assigned desk, a private office, access to common services, mail reception, an address licence, or a bundle of several items. Marketing labels do not settle legal classification.
The Civil Code of Québec contains distinct rules for leases and contracts of enterprise or services. Articles 2125 and 2129 address a client's unilateral resiliation of a service contract and the amounts that may remain payable. The client owes the proportional actual costs and expenses, value of work performed before termination or notice, and usable property supplied; either party can remain liable for other injury actually suffered. The provider must refund advances exceeding what it earned. For an indefinite lease of premises, article 1882 ties notice to the rent-payment term, capped at three months. [20] A coworking arrangement may be a service contract, a lease, or a mixed arrangement depending on its substance and wording. Read the termination clause, renewal clause, notice method, fees, deposit provisions, incorporated terms, and amendments. Ask a Quebec lawyer or notary to classify it if a material amount or continued liability is disputed.
There is no universal Quebec rule that every commercial coworking member can leave on 30 days' notice. A provider may voluntarily offer month-to-month terms with 30 days' notice, but that is a contract fact about that provider. It is not the general legal rule for every workspace in Quebec.
Consumer law should not be assumed to solve a business cancellation. The definition of consumer in Quebec's Consumer Protection Act excludes a merchant obtaining goods or services for the purposes of its business. [31] Personal status alone does not settle whether a sole proprietor or professional falls within that statutory definition in a specific transaction. Obtain advice instead of importing a residential gym-membership rule or a consumer cooling-off rule into a commercial agreement.
Extract the answers into a one-page worksheet before writing notice:
| Question | Why it changes the plan |
|---|---|
| Who is the contracting party? | Notice from a founder may not bind a corporation, and vice versa |
| What products are listed? | Workspace and mailbox components may end on different dates |
| Is the term fixed, month-to-month, or automatically renewing? | Determines the possible end date and renewal risk |
| How much notice is required? | Determines the last day to send valid notice |
| Which delivery methods are valid? | An informal message may not satisfy a contractual notice clause |
| Is acknowledgement required? | Silence may leave the effective date uncertain |
| What happens to deposits, keys, fobs, equipment, and property? | Creates return tasks and possible charges |
| What happens to mail already received? | Determines pickup and authorization needs |
| When does address-use permission end? | Prevents use after contractual authority expires |
| Are there early termination charges or unpaid balances? | Allows a final reconciliation before stopping payment |
| Who owns data in the member portal? | Determines what must be exported before access closes |
Save the agreement as it existed when accepted, including linked schedules and house rules. Portal terms can change. A screenshot of the current cancellation screen is helpful, but it does not replace the version incorporated into the signed contract.

Search by function, not only by organization name. The same agency can hold several address fields, and the same address can appear in documents nobody remembers editing.
Inventory the Quebec enterprise register, Corporations Canada if applicable, other provincial registrations, extra-provincial registrations, licences, permits, professional orders, municipal records, and court or tribunal files. The Quebec register is public, and enterprises are responsible for the accuracy of what they declare. [3]
Record the role beside each occurrence. A Quebec head office is not the same thing as an elected domicile. The enterprise register separately describes the address of the person mandated to receive enterprise documents for purposes of the legal-publicity statute. [4] A mailing address, establishment, representative address, director service address, and residence can also have different tests.
Inventory Revenu Québec, the Canada Revenue Agency, payroll, GST/HST, QST, importer accounts, accountants, bookkeepers, payroll platforms, invoice templates, expense systems, and the physical location of records. CRA distinguishes mailing, physical, and books-and-records addresses in its online change service. [15] Keeping the same postal destination does not prove that all three fields remain accurate.
List every bank, card issuer, lender, investor portal, payment processor, insurance policy, benefits provider, pension plan, grant program, and financing agreement. Article 2466 of the Civil Code requires prompt notice of circumstances resulting from the insured’s acts that aggravate stipulated risks and could materially influence the premium, risk assessment, or continued coverage. [20] Ask the insurer what it needs when operations, storage, occupancy, or client visits change.
List customers, suppliers, couriers, payroll contacts, utilities, telecom accounts, professional advisers, software vendors, domain registrars, certificate records, marketplace accounts, and procurement portals. Search contracts for the old street number and postal code. Search cloud drives, accounting templates, email signatures, website source, PDFs, presentation templates, and saved proposals.
List each person who can enter the old location, collect mail, receive notifications, use a key or fob, administer billing, or change a filing. Remove departed personnel. Identify a primary and backup owner for every time-sensitive channel.
Create one row per occurrence. Suggested columns are: system, entity, address role, current value, replacement value, owner, login or filing route, proof required, legal or contractual deadline, submitted date, confirmation number, verified date, and exception notes.
The Quebec enterprise-address guide explains the differences between head office, elected domicile, establishment and mailing address.
A replacement is suitable only if it meets the requirements of the role you give it. “Real street address” is not a universal approval category.
| Role | Core question | Evidence to obtain |
|---|---|---|
| Postal correspondence | Will the provider accept the expected item types for the named entity? | Written mail policy and signed agreement |
| Quebec head office | Is it permanently in Quebec and authorized for this corporation? | Corporate decision, agreement, accurate filing |
| Federal registered office | Is it within the province in the articles and not a post office box? | Form instructions, agreement, board records |
| Elected domicile | Has the person at the address actually been mandated to receive enterprise documents? | Mandate and filing confirmation |
| Physical or operating address | Does genuine business activity occur there as represented? | Occupancy and operating evidence |
| Books and records | Are records actually kept there or accessible as required? | Records policy and adviser confirmation |
| Bank or platform verification | Does the institution accept this address and document type? | Institution-specific written requirements |
| Public customer location | Are customers received there during stated hours? | Actual staffing, signage, access, and platform eligibility |
A Quebec business corporation's head office must be permanently located in Quebec. [5] A federal corporation's registered office cannot be a post office box and must be in the province or territory stated in its articles. [7] If the desired province differs from the articles, the corporation must amend its articles rather than submit only an address notice. Corporations Canada warns that the corporation is responsible for amending its articles when required. [8]
A federal nonprofit is governed by a separate statute. The Canada Not-for-profit Corporations Act requires its registered office to remain in the province specified in its articles. [9] Do not borrow the 15-day rule from the federal business-corporation provision without checking the nonprofit's own law and filing instructions.
Legal notification raises another question. Quebec civil procedure provides that notification to a legal person is made at its head office, subject to the Code's detailed rules. [32] Ordinary mail reception does not necessarily include bailiff service, registered mail, or signature-required delivery. Confirm both the legal suitability of the role and the provider's operational willingness to receive the item.

Set the target move date only after checking the notice clause and the replacement's readiness. Then work backward. The following example is illustrative, not a statement of law or a promise of processing time.
Assume a business wants the new address to become operational on December 1, 2026, and its coworking contract requires 30 days' notice.
| Date | Action |
|---|---|
| October 15, 2026 | Finish the address inventory, shortlist replacements, and confirm item acceptance |
| October 20, 2026 | Sign the replacement agreement in the exact legal entity name |
| October 22, 2026 | Obtain the complete civic format and proof document; test portal access |
| October 29, 2026 | Deliver cancellation notice through the contractually required channel |
| November 2, 2026 | Obtain written acknowledgement of the end date and final obligations |
| November 3 to 13, 2026 | Prepare corporate approvals and registry filings |
| November 16, 2026 | Notify banks, insurers, processors, major counterparties, and advisers |
| November 23, 2026 | Change digital and printed materials scheduled to take effect December 1 |
| December 1, 2026 | Start operational use, file changes tied to that effective date, monitor both channels |
| December 2 to 15, 2026 | Verify public records, tax accounts, invoices, profiles, and mail routing |
| Final old-service day | Collect mail and property, return access devices, export records, settle the final bill |
If the replacement cannot begin before the old service ends, identify the gap explicitly. Do not hide it by using an address without permission. Delay the cancellation where the contract allows, use another valid interim arrangement, or obtain professional advice on a required legal address.
Budgeting for overlap is easier when the costs are visible. Suppose the old service costs $165 per month, the new service costs $100 per month, and the move requires $75 in filing, courier, or document expenses. One month of overlap produces an illustrative transition cost of $340 before taxes: $165 plus $100 plus $75. These are invented planning amounts, not 2727 prices and not estimates of government fees.
Compare that amount with the cost of a rejected bank review, a missed legal document, an automatic renewal, or employee time spent repairing inconsistent records. The correct overlap is determined by exposure, not by a slogan that every move needs one month.
A useful notice is short, specific, and sent by the authorized contracting party. It should identify:
Avoid saying “cancel immediately” when you mean “do not renew after the present paid period.” Avoid asking the provider to choose the date if the contract permits you to calculate it. If several services are bundled, say whether all of them end. Cancelling desk access while leaving a mailbox active is different from ending the whole relationship.
Subject: Notice of cancellation for [legal entity name], account [number]
This message gives notice under our agreement dated [date] that [legal entity name] is cancelling [list services]. Based on the notice provision, our requested effective end date is [absolute date].
Please confirm in writing the final date for workspace access, address use, mail reception, portal access, and billing. Please also confirm the procedure and deadline for returning [keys, fobs, equipment], collecting all mail and property, receiving the final statement, and reconciling any deposit.
Our authorized contact for this transition is [name, role, email, telephone]. This notice does not authorize additional services or a renewal.
Adapt the template to the signed agreement. If it demands notice through a portal, specified email, physical address, or other method, use that method. If delivery is contentious, obtain advice about proof rather than relying only on an unacknowledged email.
Follow up on ambiguity. A provider response saying “we received your request” may not confirm the effective date. Ask for the exact date, the exact last charge, and what remains available between notice and termination.

The REQ record deserves early attention because its declared information is public. Enterprises are responsible for the accuracy of their declared information. [3]
Do not mechanically replace every occurrence of the old address. Determine whether each field describes:
The old coworking location might have served only one of those roles. Conversely, one visible street address might have been copied into several fields with different legal meanings. Use the form instructions and the enterprise's actual facts.
For a Quebec business corporation, ensure the head office remains permanently in Quebec. [5] Prepare any board or corporate record required by the governing documents and professional advice. A provider's agreement proves a contractual relationship. It does not replace corporate authorization.
The official Quebec current-updating page states that an enterprise has 30 days following a change to file a current updating declaration. [1] The notice date to the coworking provider is not necessarily the change date. Record the actual effective date for the information being changed.
An annual updating declaration is a separate recurring obligation. The official annual-filing page says all registered enterprises must file during the prescribed period. [2] If the annual declaration is open and the official process permits the current change to be reported through it, follow the instructions carefully. Do not assume a future annual window suspends a current 30-day period.
Keep the filing receipt and confirmation number. Search the public record after processing. Compare every changed field against the approved source document. Check legal name, unit format, postal code, effective date, and whether an old establishment remains by mistake.
Do not treat silence as acceptance. The Registraire can ask for information, and the official guidance warns that it may cancel an enterprise's registration ex officio if the enterprise does not respond to a request and continues to fail to meet its obligations. [10] Make sure requests can reach an actively monitored channel during and after the move.
Ex officio cancellation is not a convenient way to close a file. Reinstatement can require completing annual updating declarations for each missed year. [11] If an enterprise is genuinely no longer required to register, or was voluntarily registered and is ending that status, use the formal cancellation route. [12] Cancelling a coworking service does not cancel an enterprise registration.
For nonprofit-specific requirements, see the nonprofit head-office guide.
A corporation incorporated under the Canada Business Corporations Act must notify the Director within 15 days of a registered-office address change. [6] This federal filing does not update the Quebec enterprise register. A federal corporation registered in Quebec may need both processes.
Confirm that the new registered office is not a post office box and remains in the province or territory specified in the articles. [7] If the province changes, review the articles-of-amendment requirements before filing. [8]
Review director addresses, addresses for service, individuals with significant control records, corporate records, and internal registers separately. A registered-office change does not prove those items changed. Keep the corporate resolution or other authority, submitted form, confirmation, and current corporate profile together.
For a federal nonprofit, use the Canada Not-for-profit Corporations Act and its filing process. Its statute requires a registered office in the province specified in its articles. [9] It is unsafe to copy a business corporation's deadline into a nonprofit checklist merely because both are federally incorporated.

Registry filings and tax-account changes travel through different systems. Updating the REQ does not by itself prove that Revenu Québec or the CRA has changed every relevant address.
Revenu Québec says a business can notify it of an address change up to 180 days in advance. [13] Use that advance window where appropriate, but enter a truthful effective date and check which accounts the submitted change covers.
The CRA asks businesses to notify it as soon as possible of changes in any business address. [14] Its online service distinguishes mailing, physical, and books-and-records addresses. [15] Review each one:
Do not copy the new mailbox into all three fields simply for consistency. Consistency is useful only when the facts and field definitions support it.
Online mail can reduce dependence on a physical mailbox, but it adds an electronic monitoring duty. CRA says correspondence is considered received on the date it is posted to My Business Account. [16] Assign a named person and backup to check notifications and portal access. Keep multi-factor authentication and recovery methods current through the move.
Records do not lose their retention obligations when the office closes. CRA says business records generally must be kept for at least six years from the end of the last tax year to which they relate. [17] Inventory paper files, scanned mail, member-portal exports, and archived invoices before access ends. Ask the accountant where each record set should reside.
Update the address on outgoing invoice templates, estimates, credit notes, purchase orders, tax documentation, and accounting profiles at the effective date. Revenu Québec identifies the information registrants need on purchase invoices or other supporting documents to justify input tax credits and refunds. Registered customers can request that information from suppliers. This table does not establish a universal requirement to print a street address on every invoice. [18] The exact required content depends on the transaction and registration status, so have the accounting owner verify the template rather than simply changing the footer.
Preserve old invoices as historical records. Do not rewrite issued documents merely to make the address current. Instead, establish a clear effective date for new documents and retain the supporting change record.
Notify banks and payment platforms through authenticated channels. Expect each institution to apply its own address and document policy. A signed address agreement may be useful evidence, but it is not a utility bill and does not compel approval. Keep the request, submitted evidence, case number, response, and final profile screenshot.
Do not cancel payment as a substitute for cancelling the contract. The Financial Consumer Agency of Canada states that cancelling a pre-authorized debit agreement does not cancel the contract with the biller. [19] First deliver valid contract notice and reconcile amounts. If an unauthorized debit occurs, follow the financial institution's dispute process without losing the separate contract record.
Tell the insurer what actually changes: occupancy, operations, customer visits, stored equipment, access controls, and records location. Article 2466 of the Civil Code requires prompt notice of circumstances resulting from the insured’s acts that aggravate stipulated risks and could materially influence the premium, risk assessment, or continued coverage. [20] Do not infer coverage from the fact that mail still arrives at the same place.

Mail forwarding is often described as the safety net for an address move. That description can be dangerously incomplete for a coworking or commercial mailbox.
Canada Post identifies exclusions that directly affect this scenario. Its Mail Forwarding page excludes mail received through a privately administered mailbox company and situations where the same address is used by more than two businesses. [25] A shared coworking or virtual-mailbox address can therefore fall outside the service. Confirm eligibility with Canada Post using the exact old arrangement before putting forwarding into the plan.
Even an eligible forwarding order does not cover every item. Canada Post says the service is for Lettermail, Registered Mail, and magazines, while parcels and prepaid envelopes are not forwarded. Registered Mail can only be forwarded within Canada, and items marked “Do not forward” are returned to the sender. [26] The domestic Registered Mail limit and “Do not forward” exclusion are stated in the service terms. [29] The sender, mail class, addressing, and old location still matter.
Timing also needs care. Canada Post says a small-business service purchased online can start as early as 10 business days after purchase; a purchase at a post office can start as early as three business days after purchase. [27] Business days are not calendar days. Buying on Friday, November 20, 2026, should not be represented as guaranteeing a start on Monday, November 30, 2026. Holidays and the exact transaction date affect the calendar.
Temporary service has its own pricing structure. Canada Post says its minimum price for temporary business service is based on one month. [28] That fact does not establish eligibility for the old address.
Check the recipient names and authority. A business order permits at most two business names and six individual names; name limits do not override the shared-address exclusions. Canada Post's terms require each mail recipient under the order to share the same original and forwarding addresses, and applicable proof of authority may be required. [29] When buying for another person or a business, Canada Post requires government-issued photo ID and legal proof of authority. For a business, the evidence must establish its existence and the authorizing person’s authority; listed documents include a notarized authorization letter or corporate resolution. [30]
Whether forwarding is available or not, migrate senders directly:
A redirection order, when eligible, catches some transit. It does not update the sender's database, a public registry, a tax account, or a contract notice address.
The registered-mail and bailiff-service guide separates these delivery methods from ordinary mail reception.
Identify matters that could produce registered mail, signature-required mail, courier packages, bailiff service, court documents, tax notices, insurance notices, or bank correspondence. Ask both old and new providers about each category in writing.
The Code of Civil Procedure rule concerning notification at a legal person's head office makes accuracy and operational reception consequential. [32] It does not mean every mailbox provider must accept every method of service. A provider may refuse signature items or bailiff service even when a client has declared the location. Legal counsel should review any address intended for notification when the reception limits are material.
For each active legal or regulatory matter:
If the old provider receives an item before the end date, collect it promptly. A contractual holding period is not an extension of the response deadline written in the document.

A coworking address is not automatically eligible as a customer-facing location on Google. Google's Business Profile guidelines say a coworking office must maintain clear signage, receive customers during business hours, and be staffed during those hours by the business's own personnel. [23] A mail-only subscription therefore should not be portrayed as a staffed storefront.
If an eligible verified business moves, Google says it must verify again after the address change. [24] Plan for that review. Do not leave an obsolete address public merely to preserve visibility, and do not conceal the address in a way that misrepresents how the business serves customers.
Treat each platform independently. Banks, payment services, marketplaces, advertising platforms, map providers, industry directories, and procurement systems can request different proofs. A registry update may help reconcile identity, but it does not bind the platform. Record the policy applied, submission date, evidence, and outcome for each important account.
Update owned channels at the effective date: website contact pages, legal notices, email footers, downloadable PDFs, proposals, invoices, social profiles, map embeds, schema markup, and directory listings. Search the public web for the old exact address in quotation marks after the change. Correct what you control, request changes where appropriate, and document stale third-party results that cannot be edited directly.
Address transitions concentrate personal information. Scanned mail, identity documents, incorporation records, tax notices, access logs, and bank evidence may sit in both old and new portals. Make a data map before accounts are closed.
Quebec's Commission d’accès à l’information says private enterprises must put security measures in place to avoid confidentiality incidents. [21] Apply controls proportionate to the records involved:
The CAI also says personal information should be securely destroyed when the purposes for which it was collected and used have been achieved. [22] Reconcile that duty with statutory retention periods and any continuing legitimate purpose, including an active legal matter. A contractual instruction to keep data does not by itself override the statutory destruction duty. “Delete everything” and “keep everything forever” are both poor records policies.
Ask the old provider what happens to account data, envelope images, content scans, authorized-user lists, identification, access logs, and uncollected originals. Ask the new provider the same questions before uploading documents. Keep the response in the vendor file.

Submission is not completion. Verification catches transposed unit numbers, unchanged secondary fields, stale public pages, and failed reviews.
| System | Submission evidence | Completion evidence | Recheck |
|---|---|---|---|
| Coworking provider | Notice and delivery proof | Confirmed end date and final statement | After final charge |
| Quebec enterprise register | Filing receipt | Updated public enterprise record | After processing and at annual review |
| Corporations Canada | Filed notice | Current corporate profile | After processing |
| Revenu Québec | Confirmation | Correct address in account and next correspondence | At next notice |
| CRA | Confirmation | Correct mailing, physical, and records fields | At next notice |
| Bank and processor | Case number | Approved profile and unblocked functions | After review |
| Insurer | Adviser acknowledgement | Endorsement or written confirmation | On policy documents |
| Google Business Profile | Edit record | Correct live profile and verification status | After publication |
| Suppliers and customers | Change notice | Correct address on new orders or remittances | On next transaction |
| Sender log | Declining old-address arrivals | Weekly during overlap |
Use a four-state status instead of a simple checkbox: not started, submitted, accepted, verified. A filing can be accepted but still display the wrong unit. A platform can save an edit but leave verification pending.
When a change fails, diagnose the actual mismatch:
| Symptom | Likely questions |
|---|---|
| Document rejected | Is the entity name exact, the agreement signed, the date current, and the requested document type appropriate? |
| Mail still goes to old address | Which sender database produced it, and was forwarding ever eligible? |
| Public record shows two addresses | Are they different roles, or is an old establishment still active? |
| Bank flags the account | Does it require an operating, mailing, or residential address rather than the submitted service agreement? |
| Google asks to verify again | Does the location satisfy coworking eligibility, and can the stated business operations be proved? |
| Final debit occurs | Was the contract end date confirmed, and is the charge for an earned final period or unauthorized? |
| Legal document refused | Did either provider agree to accept that delivery class, and must counsel update a matter-specific address? |
Do not solve an evidence mismatch by altering a genuine document. Ask the reviewer which authentic alternative it accepts.
The corporation should review the office agreement, choose a replacement authorized for the intended head-office and operating roles, obtain any corporate authorization required by statute, articles, by-laws, or internal policy, and file the REQ change within the applicable period. It should separately update Revenu Québec, CRA fields, insurers, banks, invoices, and active contracts. If the new arrangement receives only ordinary mail, counsel should assess legal-delivery needs.
This business may have parallel federal and Quebec obligations. It should address the federal registered-office filing within the CBCA's 15-day period and the Quebec current update within Quebec's 30-day period where applicable. [6] [1] Filing in one jurisdiction is not proof of filing in the other.
The organization should use the nonprofit statute and its own governing documents. It must maintain its registered office in the province specified in its articles. [9] It should then review Quebec registration and tax records applicable to its facts. It should not assume the business-corporation 15-day provision governs its nonprofit filing.
The proprietor should identify whether the public enterprise record, tax accounts, invoices, permits, and platform profiles use the coworking address. Moving home changes the privacy analysis and may change the factual physical address without changing every mailing choice. The proprietor should review residential permissions, insurance, client visits, and any professional-address rules before declaring fields.
The business should compare item acceptance, collection, scanning, legal delivery, evidence, and platform rules. It should not assume Canada Post forwarding is available from the old private mailbox. [25] It needs a sender-by-sender migration and a local plan for originals if neither provider forwards mail.

At 2727 Coworking, month-to-month private offices and hot desks have no commitment and can be cancelled anytime. Dedicated desks have a 3-month minimum, with roughly one month's move-out notice handled case by case. Mailbox plans may be cancelled or changed at any time, effective at the end of the paid period. These are 2727 contract policies, not universal Quebec rules. Check the signed agreement if you selected a 12-month lease or annual prepayment; the monthly policy does not settle the financial consequences of ending those commitments early.
Virtual-mailbox plans start from CAD $35 per month before taxes, as of October 2026. Current options and booking are at booking.2727coworking.com. One company is allowed per mailbox plan. The address uses the company name followed by 109-2727 Rue Saint-Patrick, Montréal QC H3K 0A8. There is no separate mailbox number and no reception.
2727 does not forward mail. Its virtual-mailbox plans refuse parcels, signature-required mail, registered mail, and bailiff service. Private-office tenants can receive registered mail and bailiff service. A plan's six-month holding policy during active service does not promise six months of holding after cancellation. Confirm and collect all remaining items before the service ends.
2727 can provide a signed agreement naming the company, full civic address with unit, and start date. The address can support specific permitted uses, but it is not guaranteed to be accepted for every registry role, bank, or platform. The client must choose accurate fields, and institutions make their own verification decisions.
The last week is where a good inventory becomes an operating routine. Freeze casual address edits and route every change through the tracker. A person who notices an old address in a proposal should record it, identify the template that produced it, correct the source, regenerate the document, and verify the new output. Correcting one PDF without changing its template only hides the defect until the next proposal.
Hold a short readiness review five business days before the intended change. The contract owner confirms the end date. The corporate owner confirms required approvals and filings. Finance confirms tax accounts, banks, processors, invoices, and final charges. Operations confirms keys, property, mail, couriers, and suppliers. The digital owner confirms websites, profiles, directories, and account recovery. The privacy owner confirms exports, access removal, retention, and deletion tasks. One person can fill several roles in a small company, but the checklist should still separate the responsibilities.
| Area | Question that must have an answer |
|---|---|
| Replacement | Is the agreement signed by the correct entity, active on the intended date, and complete enough to prove the address? |
| Contract | Has valid notice been acknowledged with exact service, address-use, billing, and access end dates? |
| Corporate | Are approvals required by the statute, articles, by-laws, or internal policy complete? |
| Registries | Are the correct forms ready, with the old address mapped field by field? |
| Tax | Are mailing, physical, and books-and-records roles separately decided? |
| Has each important sender been notified, and is there a plan that does not depend on ineligible forwarding? | |
| Legal matters | Have counsel and matter-specific records been updated through proper channels? |
| Finance | Are bank and processor reviews submitted, and is the final provider charge understood? |
| Digital | Are scheduled website and profile changes ready, including possible re-verification? |
| Security | Have portal exports, administrator changes, device returns, and recovery channels been assigned? |
Declare a specific exception owner. If the replacement agreement arrives with the wrong company name, that person pauses filings dependent on it and obtains a corrected document. If a bank review remains pending, the finance owner determines whether the old account can continue safely, whether another genuine proof is accepted, and who will monitor the case. If the provider disputes the end date, the contract owner preserves the exchange and obtains legal advice if the exposure warrants it.
On the effective day, use a two-person check for high-impact public or financial changes when staffing permits. One person submits, the other compares the confirmation with the approved change sheet. Check the entity, field, unit, postal code, effective date, and jurisdiction. A screenshot taken before pressing submit proves only what was entered, while a receipt and later account view show what the system accepted and displayed.
Do not announce completion company-wide as soon as forms are submitted. Say which changes are effective, which are pending, and which channels remain under observation. Employees need one approved address block and a date for using it. They should know where to report a stale address rather than improvising a correction.
The appropriate monitoring period depends on mail frequency, billing cycles, regulatory correspondence, and the contract. During it, record:
Review the log weekly at first. A single old-address letter may reveal a forgotten government program or insurer. Repeated letters from the same sender indicate that the wrong department was notified or that its processing has not completed. A sudden absence of expected correspondence can also be a warning, especially when the business has switched to online mail without assigning monitoring.
At the end of the monitoring period, reconcile the old provider account. Match every invoice and credit to the agreement and confirmed end date. Confirm deposits and returned equipment. Save the last statement, then remove payment authority only when consistent with the contract and banking process. Disable portal users after required exports are verified, not before. Record the date of access closure.
Finally, turn the transition tracker into a durable record. Keep it with corporate minutes or records as appropriate, tax confirmations, vendor records, and the privacy retention schedule. Restrict identity documents and scanned mail more tightly than ordinary administrative receipts. The goal is not a permanent pile of every screenshot. It is a coherent file that proves authority, timing, submission, acceptance, and verification while disposing securely of material no longer needed.

Read the signed agreement, identify the contracting party, notice period, valid delivery method, renewal rules, and final obligations. Send specific written notice through the required channel and request confirmation of the exact end dates for access, address use, mail, billing, and portal access. Return property and reconcile the final statement. Then complete the address transition separately.
No. Thirty days may be a provider's contract policy, but it is not a universal rule for every commercial coworking agreement. Legal classification and wording matter. Civil Code articles 2125 and 2129 address resiliation and its financial consequences when an arrangement is legally a contract of enterprise or services. A Quebec lawyer or notary can determine whether a particular coworking agreement falls within that regime. [20]
Do not assume so. Even where a service-contract rule permits unilateral resiliation, amounts can remain payable, and the rule may not classify the entire agreement. Review actual expenses, work or services already supplied, notice provisions, fixed terms, and other lawful amounts. Get legal advice where classification or a material charge is disputed.
No. The Financial Consumer Agency of Canada expressly says cancelling a PAD agreement does not cancel the contract with the biller. [19] Deliver valid contractual notice first. Address any unauthorized debit through the bank's process without confusing it with the underlying cancellation.
Choose and document it before old address-use permission ends. Confirm that it works for every proposed role and delivery type, then obtain a signed agreement in the correct legal name. An overlap gives registries, institutions, and senders time to process changes without leaving a gap.
Not necessarily. The notice date proves when cancellation was delivered. The contract end date controls services and billing. Each address effective date reflects when the relevant fact changes in a registry, tax account, corporate record, or other system. Maintain these as separate fields.
Quebec states that registered enterprises have 30 days following a change to file a current updating declaration. [1] Determine when the declared fact actually changed, file through the appropriate route, retain the receipt, and verify the public record.
It may be able to when the annual filing period is open and the official process permits the change, provided the filing still meets the applicable 30-day update period. The annual declaration is mandatory during its prescribed period. [2] Do not wait for a later annual window or file duplicate forms without checking instructions.
No. Service cancellation and registry status are separate. An enterprise no longer obliged to register, or one that registered voluntarily and wants to end that status, uses the formal declaration of cancellation. [12] Do not let the file drift into ex officio cancellation.
The Registraire may cancel the enterprise's registration ex officio if it fails to respond and continues to fail to meet its obligations. [10] Reinstatement can involve catching up missing annual declarations. [11]
No. A mailing address routes correspondence. A head office is a corporate-law role. A Quebec business corporation's head office must be permanently located in Quebec. [5] An elected domicile, establishment, person's professional address, and tax-records address are also distinct.
No. The enterprise register describes the elected-domicile field as the address of the person mandated to receive enterprise documents for purposes of the statute. [4] A mailbox service is a commercial arrangement. It does not itself create the mandate or prove the field is appropriate.
Under the Canada Business Corporations Act, a corporation must notify the Director within 15 days of the change. [6] A federally incorporated company registered in Quebec should separately assess the Quebec 30-day update obligation.
No. Corporations Canada's Form 2 instructions say the registered office cannot be a post office box and must remain in the province or territory specified in the articles. [7]
The province in the articles matters. Moving outside it requires an amendment to the articles, not merely an address notice. Corporations Canada's next-steps guidance reminds corporations that they are responsible for amending their articles. [8]
Do not borrow that business-corporation rule. Federal nonprofits operate under a different Act, which requires a registered office in the province stated in the articles. [9] Check the nonprofit statute, filing instructions, governing documents, and Quebec obligations.
Do not assume it changes every tax record. Use Revenu Québec's change process and verify the affected accounts. Revenu Québec says notice can be given up to 180 days before the effective date. [13]
No filing receipt should be treated as proof that every CRA address field changed. CRA asks for prompt notice and distinguishes mailing, physical, and books-and-records addresses. [14] [15]
Only if it truthfully satisfies each field. A mailing address can differ from the actual physical location where day-to-day activities take place and from the physical location where books and records are kept. Review each field's facts with the accountant. Do not copy a commercial mailbox into all fields simply to make the account look consistent.
No. CRA considers correspondence received on the date it is posted to My Business Account. [16] Assign primary and backup monitoring, maintain account recovery, and document internal escalation for time-sensitive notices.
Retention depends on record type and legal context. CRA says business records generally must be retained for at least six years from the end of the last tax year to which they relate. [17] Corporate, insurance, employment, privacy, and litigation rules can differ. Export portal records before access ends and use a documented schedule.
Review invoice and accounting templates for the effective date. Revenu Québec specifies supporting information for input tax credit and refund claims by registrants. Its table does not impose a universal street-address field on every invoice. [18] Preserve historical invoices as issued and update future documents according to tax and accounting advice.
Do not assume it will. Canada Post excludes mail received through a privately administered mailbox company and an address used by more than two businesses. [25] Confirm eligibility with the exact old-address facts and build direct sender updates regardless.
For an eligible service, Canada Post describes Lettermail, Registered Mail, and magazines as covered, while parcels and prepaid envelopes are not forwarded. Registered Mail is forwarded only within Canada; items marked “Do not forward” are returned to the sender under the service terms. [26] The domestic Registered Mail limit and endorsement exclusion are in the service terms. [29] Provider acceptance and forwarding eligibility remain separate issues.
For small-business customers, Canada Post gives an earliest start of 10 business days after an online purchase or three business days after a purchase at a post office. [27] Count business days, allow more operational margin, and do not rely on forwarding to update senders.
Eligibility and authority must be checked carefully. A business order permits at most two business names and six individual names. Canada Post requires recipients under an order to share the same original and forwarding addresses, and it may require proof of authority. [29] Its business authorization guidance requires photo ID and legal documents establishing the business’s existence and the authorizing person’s authority. [30]
Not necessarily. Ordinary envelopes, registered mail, signature delivery, parcels, and bailiff service are different operational categories. Quebec civil procedure makes head-office notification relevant, but a provider's commercial policy may still refuse a delivery method. [32] Confirm the legal and practical arrangement.
No. Banks and financial platforms apply their own identity, residence, operations, and document policies. Ask what address role is being verified and which genuine documents are accepted. A registry extract or service agreement may support a file, but neither forces approval.
Only if the location and business satisfy Google's rules. Google says a coworking office must maintain clear signage, receive customers during business hours, and be staffed during those hours by the business's own personnel to be listed. [23] A mail-only plan should not be represented as a customer-facing office.
Yes. Google says a verified business that moves to a new address must verify again. [24] Prepare authentic evidence and make sure the new profile describes actual operations.
Possibly, but assess public disclosure, lease or ownership constraints, municipal and professional rules, insurance, client visits, security, and the meaning of each filing field. A home mailing address does not automatically become the corporation's proper head office, every person's professional address, or a customer-facing location.
Inventory it before access ends. Export records that must be retained, restrict the archive, and document deletion of unnecessary personal information. Quebec's privacy regulator calls for security measures against confidentiality incidents and secure destruction when collection purposes are fulfilled. [21] [22]
Compare the charge with the confirmed notice and end dates, final period, deposit, credits, and contract terms. Ask for an itemized statement. Preserve the agreement, notice, acknowledgement, invoices, and bank record. Use the provider and bank dispute routes as appropriate, but do not assume stopping payment resolves the contractual dispute.
Ask for the exact requirement and reason. Check the legal name, entity, date, unit, signature, service type, and document category. Determine whether the institution wanted a mailing, physical, operating, residential, registered-office, or books-and-records address. Submit an authentic alternative the reviewer accepts. Never modify a document to make it prove something it does not.
That creates avoidable risk. Public records can become inaccurate, correspondence can be refused, and access to proof or old mail can disappear. If the business is closing, the business-mail after office closure guide covers residual deliveries. Choose and document the replacement first where possible, then coordinate notice, filings, sender updates, and verification. If immediate exit is necessary, get professional help for required legal-address continuity.
Collect all accessible mail and property, export portal records, return keys and fobs, photograph the condition of any occupied space when appropriate, obtain return receipts, confirm authorized users are removed, and request the final statement. Ask what will happen to later mail and data, but do not infer an entitlement beyond the contract.
Completion requires evidence across systems: confirmed contract end, final financial reconciliation, updated public records, correct tax fields, accepted bank and insurance changes, updated invoices and profiles, controlled data, returned access devices, and a declining exception log for old-address mail. Close each inventory row only after verifying the resulting state.
Month-to-month private offices and hot desks can be cancelled anytime. Dedicated desks have a 3-month minimum, with roughly one month's move-out notice handled case by case. Check any signed 12-month or prepaid commitment separately. Mailbox changes or cancellations take effect at the end of the paid period. Confirm the actual effective date in writing and complete all external address changes separately.
No. 2727 does not provide forwarding. Its virtual-mailbox plans also refuse parcels, signature-required mail, registered mail, and bailiff service. Private-office tenants can receive registered mail and bailiff service. Collect remaining mail before the service ends and update senders directly.
No. One company is allowed per mailbox plan. Each additional company requires its own plan. The address has no mailbox number and there is no reception, so company-name accuracy is particularly important for sorting and institutional records.
A clean exit is an evidence-driven sequence, not a single cancellation message. Separate contractual notice, service end, and address effective dates. Classify every use of the old address. Establish the replacement before surrendering authority where possible. File each registry and tax change through its own process, update counterparties directly, and verify the resulting records.
The most consequential shortcut is assuming mail forwarding will bridge the gap. Commercial mailbox and heavily shared-address exclusions can make Canada Post forwarding unavailable, and even an eligible order does not update senders or cover every item. Treat direct sender migration and monitored overlap as the core controls.
Keep one transition file containing the contract, notice, acknowledgement, replacement proof, corporate authorization where required, filing receipts, screenshots, sender log, access returns, and final reconciliation. That file lets the business prove what changed, when it changed, and which obligations were actually completed.
